A holistic view of risk management in the payments ecosystem

For acquirers and sub-acquirers, risk management must cover the operation end to end: from merchant support to transaction capture, processing, and settlement. An event at any stage can affect the others and have consequences for merchants, their customers, and the company’s results.

Transaction capture: channels and devices

At the capture stage, it is important to monitor devices—POS terminals, pin pads connected to point-of-sale systems, and SoftPOS-compatible phones—as well as digital channels such as e-commerce, gateways, payment links, and QR codes. Unexpected inactivity may require technical support to repair or replace devices and, when equipment must be collected or returned, reverse logistics. Unusual changes in transaction volume or average ticket size may also signal operational failures or shifts in merchants’ risk profiles.

Processing and controls

During processing, monitoring approval and decline rates, technical errors, service outages, and fraud indicators helps identify issues in systems and integrations and informs adjustments to controls.

Fraud and chargebacks

Fraud and chargebacks affect operating results and merchant performance, creating financial losses, handling costs, and impacts on sales. Monitoring rates and losses relative to processed volume, as well as concentrations by merchant or segment, helps identify exposure and recurring patterns.

Mitigating measures include strengthening fraud prevention controls and authorization criteria, closely monitoring the merchants with the highest exposure, and providing guidance on security practices. Analyzing dispute causes helps correct issues related to sales, delivery, customer service, or cancellations. Improving dispute processes and the quality of supporting evidence can also reduce losses. Tracking results shows whether these actions are reducing cases.

Settlement

At settlement, reconciling expected amounts and timelines with what was actually processed and paid helps detect discrepancies, delays, and financial losses.

Merchant support

Customer service is also part of risk management. Metrics such as first-contact resolution, repeat contacts, average handling time, satisfaction, and case volume by period and reason help assess service quality, identify recurring problems, and size teams—including when service is outsourced.

Analyzing these indicators together—by merchant, segment, channel, and operational stage—helps locate concentrations of risk and investigate their causes. Assigning owners and tracking corrective actions helps reduce failures and recurrence.

Integrated management connects business, risk, operations, technology, and partners, supporting better-coordinated decisions and strengthening the continuity and efficiency of payments operations.
